Just noticed today that all the Contacts are missing from a key client Company, seeminglky along with their associated Notes and Documents. A Related Entry company is also missing.

Very few users have delete privileges, and I'm contacting them to see if they know anything. In the interim, I did a Backup/Restore using Max Admin. Max Admin shows 13724 Address Book entries, while doing a View > All Address Book Entries gives me 13,279 records.

Questions :

1) Does the discrepancy between the Max Admin record count and the View > All Address Book Entries record count mean the data is still there but an index is damaged?

2) What else can I do to find out where the data is and get it back?

Any suggestions will be appreciated - I am NOT as calm as this message may make it seem!

As background, we're using Max 7 with Pervasive Workgroup under Terminal Services.

Good Morning Rooster,

I'm sorry to hear you are having problems. I would suggest that your best first step is to create a new Blank database on your server and then backup your entire current live database and then restore it using the optimsed restore method into the blank database.

This will re-index all the data.

Then go into the restored database and do a search by company name but leave the name field blank and tell it to retrieve all records. Then note that record count. Then go back to the view menu and do view all companies and individuals, note that record count. Then do the same process on the live database.

From there I'd compare the record counts between each database and each method of obtaining the counts (search and view all) if the numbers are different then you may have some problems with your data and I would suggest you contact a Maximizer Business Partner for assistance.

The results were :

1) View All -
Original Companies = 1864, Restored = 1864
Original Contacts = 3972, Restored = 3972
Original Individuals = 7443, Restored = 7443

2) Search (I asked for Individuals to display as well) -
Original Companies = 1864, Restored = 1864
Original Contacts = 3972, Restored = 3972
Original Individuals = 1512, Restored = 1513

I'm guessing the variance in Search Individuals isn't significant. If that's correct, any other suggestions on looking for the missing records or where they might have gone? As an FYI, we have a backup from Sep 10 that has 201 more records than our current Address Book - and as far as I know we should have deleted one record in that time. Yuck!

Thanks for the tip on the Optimized Restore - I've always wondered what that did!
