I am a contract IT tech and one of my clients has issues keeping customer notes updated after email is exchanged. Now the client has there Maximizer "admin" on staff (I just make the back end work) who says it pretty difficult or impossible to do what the sales manager is asking. Here is what he is looking for

"A problem we are having in sales is there are a lot of emails that go around , that do not get into the maximizer system. In fact very few people are making notes in maximizer . I am sure if we knew how to take an e mail and insert it into maximizer notes that people would do this, then we would be all up to date on the status of the account.

Is this difficult to do? No one wants to type something out twice. "

Any suggestions on how to improve this issue? Obviously they could cut and paste there messages but I would think there is some sort of email tracking in Maximizer.

I should also mention users use a variety of clients for email, Outlook, Thunderbird, OE. The mail server is a Postfix IMAP box.

I;m using Max 7 so we're a little out of date, but I'm not aware of any way for emails - or at least all emails like Replies, etc. - to be automatically entered into Max Notes. However, you can easily take an email and drag'n'drop it from an email folder onto a specific Address Book entry, and it then becomes inserted into the Documents for that entry. From there you can open it to re-read it, forward it etc. and attachements are included.

I think with newer versions of Max the sending of an email to an Address Book entry either saves the email into a Max Note or at least logs the fact it's been sent, but I'm not sure of that, and again I don't believe Forwards, Replies, etc. are saved.

Hi there. If the users are sending e-mail via Maximizer then there are a couple of settings you can set under File>>Preferences on the E-Mail Tab.

The first is 'Include message body in e-mail note', this means that if the logging (set under File>>Preferences on the Logging tab) for E-Mail is set to 'notes' then not only does it record a note saying an e-mail was sent it also records the body of the e-mail in the note.

Secondly you can set the tick box for save copy to documents, this saves a copy the e-mail in the documents window for the contact/company in question.

Of course these options only apply if you are sending e-mail through Maximizer.

The other option is that on the e-mail screen within Maximizer you can right click on an e-mail in either Inbox or Sent Items and save a copy of the e-mail to the documents tab for the company/contact in question.
