I’ve come across an irritating problem with setting up company wide templates such as order confirmations and alike. Users are spread over several floors, each having access to only their nearest network printers. If a template is created on one floor it (and merged documents) cannot be printed on the others. The message - No printer Found – Use Page setup to setup a printer – is given. You get this on every merged document. If you change the Print Setup of the template then the original floor has the same problem. I could create copies of the same templates for each workgroup but wow! what a waste of time. How do I get all users wherever they are to be able to print a merged public template?

Make a duplicate entry in the Printers control panel for the desired printer at each workstation, then name it consistently on every machine. For example, make a duplicate of "6th Floor Printer" for each workstation on the 6th floor, and a duplicate of "7th Floor Printer" for each machine on the 7th floor, and give them the same name on all workstations, e.g. "Default Maximizer Printer".

Then change the selected printer for the document template to "Default Maximizer Printer". The documents will print to whatever printer has been aliased to "Default Maximizer Printer" on the particular machine in question.
