You can't schedule a recurring "HotList" task but you can achieve essentially the same result by scheduling a recurring appointment.

As in your case I have a number of activities whether there making a phone call, sending something out or whatever. I also typically do these on certain days of the week. I smply schedule an appointment for a specific time that has the same start/stop times (ie: 8:30 AM) and type a description and select an associated icon - like the phone icon if it relates to making a call. I then select recurring and set it up to recur when I want - like every Monday at 8:00 AM.

I then in the HotList task window make sure the Show Appointments option is checked. I then see on any particular day not only my HotList tasks but also my pseudo HotList tasks.

Hi, Iris - nice approach, and maybe a fix to something I've wanted for a long time. The questions I'd have are to with PDA displays and "grouping" the pseudo tasks, becuase they aren't really scheduled (eg - I know I have to call my brother on his birthday every year, but I don't have a set time to do it.

My thought would be that for the grouping, I'd set them each to start at the beginning of the day for the default duration. So in the Hotlist window you'd see all the pseudo tasks grouped together at the top of the list. Is this your experience? This works ok - is there a better way?

As for the PDA, on my Palm Zire 71 I end up with these on 2 different screens - Tasks on the To Do List and pseudo-tasks on the Calendar. Have you found a way around this? This is a bigger issue for me personally.

One more thing - I can't see a place on my Palm to flag an Appointment in my Calendar as complete - can this only be done in Max? Until they're flagged as complete appointments keep showing up on my Hotlist, as I found out when every appointment I'd ever had just showed up after I checked the "Show Appointments" checkbox in Max.

A wee bit of cleanup required perhaps - and on a ongoing basis it means mentally monitoring completion status when using the Palm. Dang!

All Palms as far as I know do not provide a means to indicate that a appointment has been completed and pseudo tasks do not sync either. However, my practice has always been to check appointments as complete on Max as I may need to schedule a follow-up or record notes, etc. I use the Palm to confirm appointments when I'm away from the office or to schedule them, etc.

TIP: To clean up old hotlist tasks like appointments just re-build your hotlist from a start date like 1/1/2000 to yesterday. Sort on the on aprticluar column and either select those and flag as completed or select all - whatever your circumstances call for.

For something like a birthday, a call back date, etc. create a UDF for that purpose - set its properties as Annual Recurring and then when that date comes up a Task will be created for you automatically on Max and the Palm. You could also designate one of the four user fields on the Palm to sync with the same date field then you could change it on the fly.

As an example I call upon a client at their place of biz. The appointment may or may not have been previously scheduled. If it was it would be on the Palm. Client tells me to call him back in two weeks - I could either create a To Do or just change the User Field to the appropriate date as long as it is in the same format as Max (ie: dd/mm/yy) - things will get up-dated at next sync.

No worries about rambling, Iris - this is great stuff! But based on the above, it appears you're talking about Max 8? I use Max 7 and UDF's don't have an "Annual Recurring" property that I can see. Or am I missing something?
