My company has recently purchased Maximizer 5.0 and it has become my job to upgrade from our previous contact database manager, Traker 2. Unfortunatly, some of our User-Defined fields have been transferred into the wrong fields. For example, the names fields, i.e. Title, First Name etc. have been moved into the Phone 1/ Phone 1 Ext. fields. If anyone can help me correct this unfortunate problem, I would be grateful.

I think one of two things may have happened to your data: Either you did not have exactly the right Tracker conversion program (there's a special one) or the data you started with may have been damaged.

There are two or three options. If you've not made many changes we could try a new conversion of your original data and we can check the program you used.

Alternativley you need a way to move your data : there a several possibilities. The simplest is to use some repeating macro's though you must be careful. If you make a list of all contacts with an incorrect phone 1 (for example). Highlight the top record in the list and start recording a macro. Use on the key board (not the mouse) Press enter to open the current record then ALT+1 to move to the phone field the CTRL+X to remove the content navigate to where it should be press CTRL+V and then ALT+O, finish with a down arrow. CTRL+BREAK to save. You'll need to experiment if you've not done this before and I suggest a backup before you start as you can't undo the changes. Test your macro by running only 3 repititions before you let it go on the whole list.

Other alternatives would involve exporting and re-importing into the correct fields using a tool such as our Max Feed or MTI.

Thank you for your response. I have tried creating a macro, but every time it edits the entry, a new address book entry is created. Is there any way around this?
Hopefully we still have our Tracker 2 data backed up on tape, but the Tracker 97 conversion utility wont allow me to reconvert the data now that there is a folder with the updated data in and we have made quite a few changes in Maximizer.

If your macros opening a new record there probably 1 of two causes.. a)your recorded instructions asked it to do this (sorry! wink ) or b) some macros won't play back at full speed as the PC sends the keys back faster than Maximizer can make the changes. Fix a) by re-recording being careful to avoid use of the mouse and minimze moves between windows. For your macro you should be able to make all the changes from the addressbook window. Fix b) by changing the properties of the macro to 'Playback at Recorded Speed' to get good performace you may find it helps to rehearse you script before you record so there arn't any long pauses.

I've sent you the tracker port program for comparison you'd just need to rename the current database (and the folder its in) to get the program to run again.

How may fields are in the wrong places?
I don't think that the macro isn't working because it's going to fast, although it does beep a lot if it is replayed at maximum speed. If I perform the edit manually, it still creates a new record. All I am doing is cutting and pasting the names from the Phone No. fields. Phone 1 field contains the Title, Phone 2 the Initial, Phone 3 the First Name and Phone 4 the Last Name.
Unfortunately, I have to keep swapping between the Address Book view and the Contact view, because the Name fields are greyed out in the Address Book view. Is this something to do with having multiple contacts or is it something else?
This problem has also occurred with the Country field. It is putting a UDF from Tacker 2 into this field instead of transferring the UDF to Maximizer!
I am grateful for your quick responses and your patience, although mine is coming to an end as far as Maximizer is concerned.
I have found out where the fields are coming from, but it doesn't exactly help me. The layout from Tracker 2 sets our UDFs out in the same layout as Maximizer's Address Book. Unfortunately, it seems that if there is no field in Maximizer with the same name as the UDF in Tracker, the information is inserted into the next free field. This is why the Country field has the wrong data. This doesn't help me, but I hope you can better understand the situation now.
Also, one of our UDFs from Tracker 2 has been completely missed out of Maximizer. Why?
Mmm... I think you're not used to Maximizer yet have patience and you'll find its very powerful.

If its beeping its going too fast the beeps are the keystrokes it can't enter correctly.

I think possibly that you should make a list of contacts rather than companies. You then may not need to swap windows.

This is to do with your not yet fully understanding Maximizer, and yes it is to do with multiple contacts the record with the grey name fields is a company record.
I now understand Maximizer's use of windows better than I did at the time of my previous request. The macros will work, as long as I do them one at a time. This is possible, but we have over a thousand contacts. If the macro is set to run continuously, when it has edited the entry it moves it to a different place in the list. This movement seems to be random and therefore I can't see a way of setting a macro to work around it. Am I still doing something wrong or is the program not working as it should? I've converted the data from Tracker 2 using Track Port, I've also tried Max Port 97, but it still ending up with the same result! Please can you advise me on how to get around these problems.

Your doing this right. What you need to do though, is use a simpler column layout. I suggest just name and Identification. The problem is that Maximizer jumps in the list if it reaches an entry where there are two or three following entries with the same item value (eg company name) in the sorted column.

Its best not to show the item your changing and under no circumstances sort by a column showing the thing your changing or as soon as you update it the whole list is re ordered!

As far as the tracker/max port program go you can only get what they'll give you there's no way to change the way they work.

If you wish, we could take your data and drop and reinsert the fields using one of our add-on (eg.Max Feed) but I'm afraid we'd have to charge for the time to do this work.
